How to make a professional invoice in two minutes

By Uxair Ijaz · 2026-10-22 · 2 min read

A clear invoice gets paid faster. This guide covers what an invoice must include and how to make one with the free invoice generator in a couple of minutes, without signing up.

What every invoice needs

  1. The word "Invoice" and a unique invoice number (INV-0001, INV-0002…). Never reuse a number.
  2. Your details: business name, address, and email or phone. Add your tax or VAT number if you are registered.
  3. Your customer's details: their name or company and billing address.
  4. Issue date and due date, or payment terms such as "Net 14" (due within 14 days).
  5. Line items: what you sold, the quantity, the unit price and the line total.
  6. Totals: subtotal, any discount, tax, and the amount due, in one clear currency.
  7. How to pay: bank details, a payment link, or accepted methods.

Rules vary by country (some require the customer's VAT number, or wording such as "reverse charge"), so check your local requirements.

Making it step by step

  1. Open the invoice generator. It starts with an example you can overwrite.
  2. Add your logo and business details at the top.
  3. Fill in the customer, the invoice number and the dates.
  4. Add line items. Totals update as you type.
  5. Set tax and discount. The discount can be a percentage or a fixed amount.
  6. Pick a currency and a template that suits your brand.
  7. Add notes and terms, for example "Thank you for your business" and your payment details.
  8. Print / Save PDF. In the print dialog, choose Save as PDF to get a file you can email.

Your draft, logo included, is saved in your own browser as you work, so it is still there next time. Nothing is uploaded to a server.

Tips that get you paid sooner

  • Send it the same day you finish the work.
  • Use short terms (7 or 14 days) and put the due date where it is easy to see.
  • Make paying easy: include a payment link or full bank details on the invoice itself.
  • Be specific: "Website redesign, 5 pages" beats "Design work".
  • Follow up politely the day after the due date.
